The challenge

When collecting tenant data, Snelder Zijlstra ran into a familiar problem. Depending on the tenant profile, different documents are required (salaried, self-employed, retired), but in practice this turns into a mix of loose emails, attachments and manual checklists. The result: inconsistent intake, little overview and a lot of follow-up work.

Security was a hard requirement here. Data had to be visible to staff, but not freely downloadable. And the process had to fit within GDPR and internal guidelines.

The solution

We developed a portal system with two components.

Admin environment

  • Create a portal per tenant

  • Automatic intake based on tenant profile

  • Dashboard with status per file (what is complete, what is missing)

  • View data without the option to download

  • Secure, temporary storage with automatic deletion (GDPR)

Tenant portal

  • Dynamic forms per profile

  • Simple document upload

  • Clear progress indication

  • Secure access via a unique link

The result
